Microsoft EA Renewal: Negotiate the Agreement. Not the Escalation.

Microsoft's EA renewal process is designed to anchor organisations to the previous agreement plus annual escalation. Without independent benchmark data, organisations renew at prices that are 20 to 35 percent above what comparable enterprises pay. Redress benchmarks your EA against 300+ comparable transactions, identifies every optimisation opportunity, and negotiates on your behalf.

The EA Renewal Problem

Microsoft controls the timeline, the renewal data, and the discount framework. Your Microsoft account team presents renewal proposals that protect Microsoft's revenue — not your budget. Independent benchmarking is the only way to identify whether Microsoft's renewal proposal reflects your actual market position.

Most organisations enter EA renewal unprepared: no independent benchmark data, no clear understanding of Microsoft's alternatives, and no leverage point for negotiation. We change that equation. We benchmarks your current costs against 300+ comparable EA transactions, identify what you should be paying, and negotiate with Microsoft from a position of data-driven strength.

Frequently Asked Questions

What is a Microsoft EA and when does it need to be renewed?+
A Microsoft Enterprise Agreement (EA) is a large volume licensing agreement that covers Microsoft products across an organisation. EAs are typically 3-year agreements that include Software Assurance and can include Azure consumption commitments (MACC). EAs must be renewed before the agreement expiry date. Microsoft typically begins renewal discussions 12 months before expiry.
How much notice do I need to start EA renewal negotiations?+
We recommend starting EA renewal work 12-18 months before your EA expiry date. This gives time for entitlement audits, benchmarking, strategy development, and negotiation. If your EA expires in less than 6 months, we can still provide value, but time pressure reduces negotiation leverage.
What is the difference between EA, MCA, and CSP?+
EA (Enterprise Agreement) requires 500+ devices or users, is negotiated direct with Microsoft, and offers the most favourable terms and flexibility. MCA (Microsoft Customer Agreement) is a simpler agreement for smaller organisations (50-500 users), purchased through resellers, with less negotiation flexibility. CSP (Cloud Solution Provider) is reseller-mediated licensing with monthly billing, typically for small businesses. We work with all three models.
How does Redress get paid?+
We work on a fixed-fee basis for EA renewals (typically £25-75k depending on complexity) or on an outcome-based model where we take a percentage of negotiated savings. We never take a cut of your spending—we benefit only when you save money.
